Zapier vs Make vs n8n: Which Is Best for MedSpas?

Zapier vs Make vs n8n for medspas — pricing, ease of use, and which automation tool to actually start with.

You have decided to automate your medspa. Now you are staring at three tool options — Zapier, Make, and n8n — and the comparison articles you have found assume you have an engineering background.

You do not. You want to know which one to use and why.

Here is the honest breakdown, written for medspa owners who want clarity, not a feature matrix.

Quick Overview

Zapier is the most well-known automation tool. It connects apps with a point-and-click interface, works with 6,000+ apps, and is designed for non-technical users. The tradeoff is cost — it gets expensive as your automation grows.

Make (formerly Integromat) is Zapier’s visual, more flexible cousin. It uses a drag-and-drop canvas to show you exactly how your data flows between apps. More powerful than Zapier for complex logic, significantly cheaper at scale.

n8n is open-source, self-hostable, and the most powerful of the three. It handles complex, multi-step workflows that would break Zapier’s pricing model. The tradeoff: a slightly steeper initial learning curve. This is the tool I build on.

Zapier — Best For…

Clinics that want the fastest start and the simplest setup.

Zapier’s strength is breadth and simplicity. If your automation need is “when a lead fills out a form, add them to my CRM,” Zapier sets that up in under 30 minutes — no prior experience needed.

It is the right choice if:

  • You are connecting two common tools (a lead-ad form and your CRM, for example)
  • You want to test automation before committing to something more complex
  • You are comfortable paying more for convenience

Pricing reality: Zapier’s free plan is extremely limited — 100 tasks per month, which a busy medspa burns through fast. The Starter plan ($19.99/month) gives you 750 tasks. The Professional plan ($49/month) gives 2,000. For a medspa with meaningful automation volume, expect $50–$100/month.

Make — Best For…

Clinics that want more power without the Zapier price tag.

Make’s visual canvas is genuinely useful — you can see your entire automation flow mapped out as a diagram rather than a list of steps. For a booking-confirmation sequence with conditional logic (if the patient booked a consultation, send this message; if they booked a follow-up, send that one), Make handles it cleanly.

It is the right choice if:

  • You have multi-step automations with branching logic
  • You are hitting Zapier’s pricing ceiling
  • You are comfortable spending a few extra hours learning a new interface

Pricing reality: Make’s free plan gives 1,000 operations per month — significantly more generous than Zapier. The Core plan ($9/month) gives 10,000 operations. For most medspas, this is enough and the cost is a fraction of Zapier.

n8n — Best For…

Clinics that want maximum automation capability — typically through a done-for-you service.

n8n is what serious automation practitioners use. It handles complex workflows, custom logic, API connections, and data transformations that Zapier and Make simply cannot do. It is also self-hostable — meaning you can run it on your own server and avoid per-task pricing entirely.

The honest caveat: n8n has a steeper learning curve than Zapier or Make. Most clinic owners should not try to learn it themselves. But if you hire someone to build your automation system, n8n is often the better choice for the long-term — more powerful, more flexible, and no ongoing per-task fees once it is set up on a server.

This is the tool I build on: no per-task fees once self-hosted, and room for the branching logic that gets awkward in Make. It pairs especially well with GoHighLevel as the CRM backbone — see the full GoHighLevel review here if you are weighing that combination.

Pricing: n8n Cloud starts at $20/month. Self-hosted is effectively free (server costs aside, typically $5–$20/month on a basic VPS).

My Recommendation for MedSpas Just Starting Out

If you are DIYing your automation: start with Make.

Make gives you significantly more power than Zapier’s free and entry-level tiers, at a fraction of the cost. The visual interface is genuinely intuitive once you spend an afternoon with it. For simple medspa automations — booking triggers, reminder sequences, CRM tagging — Make handles everything you need.

If you want the most powerful system built for you: n8n is what I use.

A done-for-you build connects lead capture from ads, AI qualification, booking confirmations, and review requests into one system, end to end.

The Bottom Line

Do not get stuck in tool research paralysis. The tool matters less than actually building the automation.

If you are starting today: sign up for Make’s free account and build your first automation this afternoon — a simple ad-lead-to-CRM handoff is a good place to start.

The automation engine is only part of the picture. The CRM choice matters just as much — here is how the main options compare at every clinic size. And if you want to see how these tools fit together into a complete system, the full stack breakdown is here.

If you want it built for you: see what each package includes or book a free strategy call to walk through which tool stack fits your clinic.
